Application Process

​​​​​​​​​​The PDRP portfolio process is affirmative and supportive for nurses, a time when each applicant's contribution to nursing practice and professional development is recognised and celebrated.

This process recognises your professional nursing and development and its contribution to your nursing practice outcomes.

External Organisation nurses may still need to complete a hard copy portfolio:

Please note if you are from an External Organisation you need to speak with your PDRP Coordinator as Performance Reviews vary between organisations.

  1. See PDRP Guidelines Workbook at the level you wish to apply under Guidelines and Templates.

  2. Discuss your application with your CNM/LM (as your application will need to be supported at the level you apply).

  3. Work through your performance review matching your examples of practice to one indicator under each competency.  Located in the guidelines.

  4. Continue to work through the checklist located in the Guidelines.

  5. Set out your portfolio in order of the checklist (This will make it easier on you and your assessor to ensure all documents required are included).

  6. On completion of your Portfolio please send to the PDRP office via your organisations preferred method of delivery.

The PDRP Office Process

  1. ​On receipt of the ePortfolio / hardcopy Portfolio the applicant details are entered on to the database

  2. You will receive an email acknowledging that your ePortfolio / hardcopy Portfolio has been received

  3. ePortfolio / hardcopy Portfolio will be placed in date order awaiting the next available assessor

  4. Assessment will be carried out and you may or may not hear from your assessor regarding further requirement of evidence

  5. If no extra evidence is required your ePortfolio / hardcopy Portfolio will be returned buy the assessor to the PDRP office for completion

  6. If successful the PDRP office will notify payroll, if applicable, your CNM and yourself

  7. Your ePortfolio / hardcopy Portfolio will then be returned to you.

Things to note:

The assessment process should be completed within 10 weeks of receipt of the application. However should further evidence be required from either applicant or Manager this may extend the timeframe.

If extra evidence is requested from the applicant, you will have 6 weeks to provide your evidence to the requestor. If this is not received within the 6 weeks the PDRP Coordinator can amend submission dates and notify payroll to cease payment until received. This may also change back pay if applicable​.

Occasionally a portfolio is returned to the applicant if significant evidence is required to be amended or added to the portfolio.

Portfolio Assessment by the PDRP Office

Your ePortfolio / hardcopy Portfolio will be assessed to meet the PDRP criteria.

If, at the end of the assessment process, the nurse has not yet met the criteria for the level being applied for, there are three options:

  • The applicant may accept the decision.

  • The applicant collaborates with the PDRP team and/or their Manager to work on  the areas needing more evidence. It may be that the portfolio is returned to the nurse and subsequently resubmitted to PDRP once complete, with a new submission date.  

  • If resubmission occurs within six  weeks of the initial submission date, the original application date will stand. If resubmission is more than six weeks after the original application date, the date the resubmission was received will become the new application date.

  • The applicant may disagree with the outcome and choose to appeal the decision.

Portfolio Submission for Canterbury Office (only)

New Applicant Submissions Between 31st October - 31st January

  • NETP and ENSIPP PDRP submissions are submitted according to their respective programme dates.

  • All PDRP portfolios will be accepted up unitl 31st October. Between 31st October and 31st January only NETP/ENSIPP and portfolios due for resubmission will be accepted into the Canterbury office.  This may differ for other regions. All other new submitted PDRP submissions will have the assessment process delayed until after 31st January of the following year.

Resubmissions Three Yearly

The process for resubmission at the end of the three year PDRP period is the same as for the initial portfolio submission. 

Resubmissions do not require a booking. ​If you are resubmitting a portfolio, please submit to the PDRP team by the due date.

Resubmissions at another PDRP level can be forwarded to the PDRP office at anytime during the 3 year resubmission period of the nurse's portfolio; but this must submitted by the 3 year due date.

If you resubmit prior to or on your expiration date, there should be no interruption in your level of practice payment. Only if the expiration date comes and goes without resubmission will the PDRP payment be ceased. The PDRP office will notify payroll on your expiry date if no communication is received from the applicant. 

Extensions

It is not possible for the PDRP office to grant extensions to expiry dates as Nursing Council requirements state assessment against the competencies must take place every three years for nurses. This also applies to nurses going on parental or extended leave over their 3 yearly expiration date.

 

Appeals Process

All applicants will receive feedback from their portfolio assessment which should minimise the need for an Appeals process, however if an applicant disagrees with the outcome of their portfolio a nurse may make a formal appeal against a decision using the Appeals Notification Form.

An appeal must be submitted within 7 working days of notification that the application was unsuccessful.

On receipt of the Appeal Notification Form, the PDRP Coordinator will plan for two new assessments to take place. The new assessors will not be told of the original outcome. If the outcome is still unsuccessful, and the applicant still wishes to appeal the decision, an Appeals Panel will be called. The Appeals Panel will assess the documented evidence, interview the applicant and the PDRP Assessor(s). The applicant may choose to bring a support person to the interview.

On completion of the Appeal, a written report outlining recommendations will be sent to the applicant with copies to the original assessors. The applicant should receive this report within 7 working days. The decision of the Appeals Panel is final.
